We are committed to operating with the highest standards of ethics, transparency, and accountability. Every policy is designed to protect our students, honor our donors’ trust, and ensure we make the greatest possible impact in the communities we serve.

Hiro Foundation collects information necessary to deliver our programs and services effectively. This includes: student academic records and performance data, health and medical information for program participants, contact information for students, families, and partners, donation and financial transaction records, volunteer and employment applications, and website usage data through cookies and analytics. All data collection is done with informed consent and in compliance with Rwandan data protection laws.

We use collected information solely for legitimate organizational purposes: delivering educational and health support programs, monitoring student progress and program effectiveness, communicating with program participants and supporters, processing donations and managing financial records, improving our services and website experience, complying with legal and regulatory requirements, and reporting to donors and stakeholders. We never sell or rent personal information to third parties.

Protecting your information is our priority. We implement robust security measures including: encrypted data transmission and storage, restricted access to personal information on a need-to-know basis, regular security audits and updates, secure physical storage of paper records, staff training on data protection best practices, and incident response procedures. Despite our best efforts, no system is completely secure, and we cannot guarantee absolute security of transmitted information.

You have the right to: access your personal information we hold, request corrections to inaccurate data, withdraw consent for data processing (subject to program requirements), request deletion of data when no longer needed for legitimate purposes, object to certain data processing activities, and file complaints with relevant data protection authorities. We work primarily with children and take special care with their information. We: obtain parental/guardian consent before collecting children's data, limit data collection to what's necessary for program delivery, implement additional security measures for children's records, provide parents/guardians access to their children's information, and comply with all laws regarding children's data protection. We never use children's data for marketing purposes.

Student program data is typically retained for 7 years after program completion for impact assessment and alumni engagement. Financial records are retained according to Rwandan tax and accounting laws. You may request earlier deletion in certain circumstances.

While we primarily operate in Rwanda, some data may be transferred internationally (e.g., cloud storage providers, international donors). When this occurs, we: ensure adequate data protection through contractual agreements, comply with applicable international data transfer regulations, and maintain the same level of protection regardless of data location. We will notify you if your data will be transferred internationally.

We may update this privacy policy periodically to reflect changes in our practices, legal requirements, or organizational needs. We will: post updates on our website with the revision date, notify users of significant changes via email or website notice, and maintain previous versions for reference. Continued use of our services after updates constitutes acceptance of the revised policy.

  1. Hiro Foundation is managed by a Board of Directors responsible for strategic decisions, compliance, and oversight.

  2. Day to day operations are led by an Executive Director supported by staff and volunteers.

  3. All decision making prioritizes the best interests of beneficiaries and the long-term sustainability of the Foundation.

  2. The Foundation’s name, logo, seals and materials must be used in accordance with our brand guidelines.

  3. We commit to honest, respectful, and mission-focused communication.
